Board meeting minutes
December 12th, 2007
6:00 p.m.
 
 
 
Meeting was called to order by President Yvonne Schutte.  Other members present were Barb Gerber, Paul Barrett,  Marci Hensel, Chris Soukup, Mary Jane Grenzow, Tracy Pederson and Heidi  Treuthardt.  Members absent were Tina Gilbert, Sue Curran and Marsha Stanek.  Also present were Tonya Kelly/Shelter Director and Brian Gray/Monroe Times.
 
Treasurers Report
Paul Barrett gave each member present a report for November 1 through December 12.  As of this date the shelter is operating with a net income of 2,446.34.  Paul indicated that the shelter's financial situation is improving each month.  Paul also reported that the shelter received a very generous donation from the estate of Douglas E. Kiefer. 
 
Old Business
 
Mike Jerge of Sloan Implement reported that a suitable van has been found.  A local anonymous couple purchased the van and Alphorn Ford is willing to donate a bumper to bumper 50-70K warranty.  The lights and siren will be removed from the current truck which will be traded to Alphorn.  The van is an extended 06 Chrysler Town and Country and has 50K miles.  The possibility of putting some sort of cage behind the driver was discussed.  A motion was carried and passed to accept this offer.  Mike said he should know the final terms by the end of the week.  Mike also reported that the annual garage sale may be moved back to Monroe Auto Sales.
 
New Business - Committee Reports
 
Fund Raising
Barb Gerber reported that Farm Technology Days raised approximately $1050.00.  Dennis Dalton donated the sitting fee for photos taken with Santa.  There are Christmas trees decorated with pictures of animals from the shelter and donation boxes at the Amcore motor bank and Woodford Bank.  A donation barrel is still at the Times and one was a Kutter Harley Davidson.
The holiday brochures are ready and will be mailed on the 17th.  Due to bad weather the "Pictures With Santa" is being moved the Sunday, Dec. 15th from 12-2 at the shelter.  Donations will be taken for this event.
 
Outdoor Homes
Marci reported that the committee is making new adoption protocols for dogs and cats.  They are using the website Alley Cats for information. 
 
Building and Grounds
Paul reported that the furnace in the trailer has been repaired and the computers are hooked up and running.  Randall Johnson and Mary Jane Grenzow are working on updating the web site.  Brad Zersen from Zersen flooring is donating and installing outdoor carpeting on the walkway to the trailer.
 
Membership
The committee is looking over the benefits and perks for GCHS members and possibly raising membership fees.  The board discussed having the fees due once a year near the annual meeting with pro-rating fees quarterly for people joining before or after the annual date.  No decisions were made and this will need further discussion.
 
SNAP
About half of the program's coupons are left.  The coupons are donated by the United Way.
 
Personnel
Marcie handed out a draft of the new personnel handbook.  The board read through it and made a few minor changes.
 
Policy and Procedures
Committee has met and is making progress in making the new handbook.  Future meetings have been scheduled.
 
Executive
Staff meeting 8:00am Thursday.
 
Foster Homes
Tonya asked if anyone would like to help her with this committee. 
 
Adoption Follow up
Heidi Treuthardt will be contacting last committee chair for the papers necessary to follow up with people.
 
Public Relations
Mary Jane reported that the newsletter is ready to be mailed  and will go out soon.
 
Shelter Director's Report
 
Tonya reported that the shelter has:   31 dogs, 72 cats in cattery, 72 cats in trailer, 19 ringworm, 11 to spay and 4 are
too young.  Lisa Holcomb of Argyle Veterinary Service has volunteered to help with meds once a week.  Veterinarians from Orangeville, Evansville, Brodhead, Monroe and UW Veterinary School have all volunteered some spay and neutering services.Amy Hagen of Monroe Veterinary Service obtained a free year's worth of Resolution  medication for cats, this medication can replace to more expensive Frontline medication currently used. 
Tonya reported that the current FIV test used by the shelter for cats is $18.50.  The board discussed policies for FIV testing.  Tonya will look into finding a less expensive test.  Future discussion will be needed.
 
Public Discussion
 
Brian Gray requested a meeting with the Executive Committee to discuss feral cat policies.  Bradley questioned  the posting of Board meetings.  Yvonne explained that all meetings are posted on bulletin board at the shelter.
 
 
Next Board meeting will be Wednesday January 9th at 6:00 p.m. and the Monroe Public Library, second floor meeting room.  This room has been reserved for the second Wednesday of each month for 2008.
